CoolCare launches reporting tool for care homes

Care home management software provider CoolCare has launched a reporting tool designed to help care providers access and act on operational data. The new product, called Advanced Reporting, pulls information on occupancy, enquiries, staffing and billing into a single dashboard. They say the tool is meant to help care teams spot risks earlier, identify areas for improvement and make more informed decisions. The launch reflects the growing demand for data-driven decision-making in the care sector.

The adult social care sector faces rising costs, staffing shortages and tighter regulatory oversight.

Many care homes still rely on spreadsheets or paper records to track daily operations. Manual methods can delay how quickly managers see problems developing. Manual data entry is also prone to errors, which can compound over time.

What the reporting tool actually does

Advanced Reporting is built directly into CoolCare’s existing care management platform. It aggregates data from different parts of the system — occupancy rates, staff schedules, billing records and new resident enquiries — and presents it in a format meant to be easier to scan and act on. The dashboard consolidates information that previously had to be checked separately across different modules. Integrating these data sources saves time and reduces the risk of oversight.

Managers can see trends in near-real time, allowing them to catch a dip in occupancy earlier or notice that staffing costs are creeping up relative to revenue before the numbers become a problem. Having faster access to data helps homes respond more quickly to changing conditions. The speed of insight is a significant improvement over the traditional monthly reporting cycle.

CoolCare has not yet disclosed pricing for the add-on module.

The company offers the software to a range of care homes across the UK. Pricing models for such modules often vary based on the size of the home or the specific features required. Neither has it said how many existing customers have signed up so far.

For context, the care home software market has grown crowded in recent years, with several providers offering similar analytics dashboards. What often separates them is how well the data flows from daily care records into the reporting layer — and whether staff actually use the tools once they are installed. Integration with existing systems and ease of use are key factors in successful adoption. CoolCare has an established user base, which may give it an advantage in rolling out the new reporting module.

Data visibility matters in social care because it directly affects resident outcomes and operational stability. When managers have a clear view of trends, they can allocate resources more effectively. For example, noticing a dip in occupancy early allows the team to adjust their marketing efforts. Tracking staff hours helps control overtime costs. Monitoring billing data ensures no revenue is missed. All these factors together contribute to a more stable and responsive care environment. The module aims to help care homes achieve this level of insight.
